PDFs do not contain true flowing text like Word documents and many special characters. Therefore, it is challenging to cleanly extract text from a PDF for proofreading or further processing.
The Scribigo-specific Pro PDF Import uses special logic and AI support to obtain the cleanest possible manuscript text from the PDF. While there may still be minor deviations such as unwanted line breaks or hyphens, the output is approximately 99% correct. It is therefore ideal for proofreading or for clean text export into a new Word document.
Alternatively, you can also Layout-accurate PDF import choose. In this mode, the focus is on a layout as true to the original as possible in the Word document, not on optimal text extraction. Complex layouts are sometimes captured as graphics rather than editable text.

The Scribigo text buddy combines a chatbot and document preview in one tool. It helps you to correct, stylistically revise, translate, analyse, or add editing comments to your document. Various functions are available for this, which are explained in more detail below.
In the Textbuddy, the main menu and toolbar are always visible, giving you quick access to the most important work areas and actions.
Chat – Your agent-based text buddy chatbot. First, upload a document or paste text from your clipboard. Then, freely describe what you want done with your text. For individual, freeform, or more complex requests, chat is always the right choice.
Wizard – Here you will find a simple, structured access to all standard functions. You can also restart your last 10 used functions directly. The displayed functions also adapt to the selected or automatically recognised manuscript type.
Function list – Here you can browse all available functions directly and launch them specifically if you already know which function you need. Here too, suitable functions will be preferentially displayed depending on the manuscript type.
Document – Once you have uploaded a document or inserted text, a preview will appear here. This is purely a text view, which is particularly useful for highlighting sections and for working with changes and comments. However, via the download, you will always get your original document back with its original formatting.
Analyses – In this overview, you’ll find all the summaries, evaluations, and other analyses that Textbuddy has created for you. You can view them, transfer them to Word, or print them out as a PDF. You can also use the analysis results to send them directly back to Textbuddy.
Version history – Here you can see all the versions of your document that have been created over time through several revisions. If necessary, you can view, download, or restore older versions.
You start a new job here. Simply upload a document or paste text from your clipboard. If your browser blocks direct access to the clipboard, you can also simply paste the text with Ctrl+V for a new job.
Chat input – Here you can speak freely with the Text Buddy and give it individual or more complex instructions that don't fit into a single standard function.

The manuscript type helps Textbuddy suggest more suitable standard functions and display them more clearly in the wizard and the function list. You can set it yourself in the settings or have it detected automatically.

In the document view, you can preview how your text will actually look after revision. Here you can see changes and work with comments without altering the original document. Via the always-visible main menu «File», «Edit», «View», «Help», the search function, and the toolbar, you control all important functions for checking, analysing, and reviewing your text. The document view is particularly suitable for carrying out a final quality check before exporting or final approval.
File Menu
In the «File» menu, you'll find all the basic functions relating to the document itself – from creating a new one to downloading and quickly selecting editing functions. These options don't apply to individual sentences or sections, but to the document as a whole. Always use this menu when you want to work with files, for example, to create a new version or export the current preview.
New document
Starting a «New Document» launches a completely new Textbuddy session, without continuing with the current document. This feature is helpful when you want to check multiple texts one after another or revise different versions separately. The current and all previous documents and texts can be found in your Order overview. Afterwards, you can directly upload or paste a new document to edit it in the document view.
Download document
«Download Document» saves the currently visible text version of the document, in its original formatting, locally to your device. Depending on your selection, either the tracked changes will be included or it will be saved as a clean final version without mark-ups. This function is suitable if you wish to share, archive, or edit the document offline. Users often also use it to save an intermediate version before testing further changes.
Select function directly
Skipping to «Direct Function Selection» allows you to quickly jump to a specific analysis or editing function without leaving your usual workflow. Instead of opening all the menus one after another, you can select the desired function directly from a list or dialog. This saves time when, for example, you repeatedly perform the same check or want to initiate a specific correction. This option is particularly useful for advanced users who frequently switch between different functions.
Use chat
Using «Use Chat» opens an interaction with the Text Buddy AI to ask questions about the current document, have it automatically revised, or get specific suggestions. For example, you can ask for better wording, improvements in clarity, or stylistic alternatives. The chat refers to the entire document or the selected text, allowing for very targeted improvements. This feature is helpful when you want not only standard corrections but also individual revisions, as well as explanatory feedback and creative support.
Contents
The «Table of Contents» gives you a structured overview of your document's outline, for example headings and chapters. In the preview, you can use it to quickly jump to specific sections without having to scroll for a long time. This is particularly useful for longer texts, reports, or academic papers. You can also use the table of contents to check whether the hierarchical structure of your text is logical and consistently organised.
Document Information
Under «Document Information» you will see key metadata for your text, such as scope, language, version, or, if applicable, author and time details. In addition, genre classification and a brief content assessment will be displayed here.
Edit Menu
The «Edit» menu controls all functions that directly affect the content of the preview document. This includes undoing actions, managing annotations and changes, and working with comments. You should use this menu whenever you need to respond to specific editing steps or accept, reject, or comment on individual suggestions. It therefore forms the central tool for fine-tuning the text.
Undo
Using «Undo» reverses the last action in the preview, for example rejecting a change or deleting a comment. This feature is helpful if you are not satisfied with the AI's revision result or have accidentally executed a wrong command. You can often undo multiple steps one after another as long as the session is active. This allows you to work more relaxed, knowing that incorrect inputs can be quickly corrected.
Copy preview
«Copy Preview» copies the currently visible text from the preview to your clipboard, with or without annotations, depending on your settings. This function is useful if you want to paste the result directly into another application without having to download it first. You can, for example, transfer the revised text to an email program or word processor. This is especially useful if you only want to reuse a specific passage that you have previously checked in the preview.
Deselect
With «Deselect» you remove any current text selection in the preview document. This is helpful if unwanted markings persist or if you have accidentally selected a larger area. By deselecting, you prevent subsequent editing steps (e.g., revising or commenting) from being applied to the wrong text. You can then specifically select the section you want to work with again.
Reject change
The «Reject Change» function discards a single suggested correction and restores the original text at that point. This is useful if you disagree with a specific suggestion from the AI or a co-editor. This way, you retain control over the content and decide individually which adjustments will be incorporated into the final version. In practice, you often use this option to deliberately preserve stylistic peculiarities or technical phrasing.
Discard all changes
Rejecting all changes will discard all open change suggestions within a selected area at once. This means that the original text will be restored, as if no corrections had been proposed. This function is helpful if you want to completely discard a specific part of a review cycle or prefer an alternative revision. Use it with caution, as many suggestions can be lost at once.
New comment
«New comment» allows you to leave a note at a specific point in the text without changing the actual content. You can use it to ask questions, suggest alternative phrasing, or give tips to other editors. Comments are particularly useful for teamwork or for preparing later revision rounds. Select the relevant text and insert your comment to clearly position discussions.
TipComments can not only be generated automatically, but also used by Textbuddy to automatically improve the text.
Delete all comments
Using «Delete All Comments» will remove all comment marks and notes from the selected area in one go. This function is particularly useful once the content review is complete and you want to tidy up the document for final output. This prevents internal notes or discussion contributions from accidentally appearing in exported or sent versions. It’s best to use this option only when all relevant points have been clarified.
Improve text with comments
«Improve text with comments» automatically improves text linguistically or optimises it content-wise, according to the comment contents. This is helpful if a comment contains a suggestion for improvement. For example, the function can correct spelling, refine phrasing, or make it more polite.
View Menu
In the «View» menu, you control how text is displayed in the document view – meaning whether changes and comments are visible and in which mode you are reading. These settings only affect the display, not the actual content of the document. You can thus switch between a clear reading view and a detailed revision view. This is particularly useful when you want to alternately review the text and then read it as a finished final version.
Refresh
Clicking «Update» reloads the preview so that all recent changes, analyses, or comments are displayed correctly. This is useful if you have previously made edits or carried out new functions and want to ensure that the display is up-to-date. Especially with extensive documents or longer sessions, updating helps to fix any display errors. Also use this function if you have the impression that content is not being displayed completely or is out of date.
Analyses
Under «Analyses», you can access various evaluations of your text, for example, concerning comprehensibility, style quality, or the use of specific terms. The results are displayed in the preview in such a way that you can directly see which sections are affected. This helps you to specifically address weaknesses instead of having to search through the entire text manually. Analyses are often used to systematically check formal requirements, corporate language, or readability targets.
Version history
The «Version history» shows you previous states of your document, allowing you to track how the text has changed over time. You can compare individual versions to see which passages have been added, changed, or removed. This is especially valuable in longer projects. In many cases, the version history also allows you to restore an older version or use it as a basis for a new variant.
View mode
In the «View Mode» section, you can select how the text is displayed – with or without changes and mark-ups. Depending on the stage of your work, you can switch between a focused reading view and a detailed review view. This facilitates both content assessment and formal checking. The different modes only affect the visibility of changes, not the actual document content.
Original without changes
The «Original without changes» mode displays the text exactly as it was before any revisions. No suggested corrections, markings, or comments interfere with the display. This mode is ideal if you want to understand what the original text looked like or if you want to compare the impact of the revisions with the original version. It also helps to check whether essential content was already present in the original text or was added later.
Edited text without markings
In «Edited Text without Markup» mode, you see the current valid version of your text, with all accepted changes already incorporated, but without visible revision history. The appearance is that of a clean final version, which is well-suited for proofreading or presentation. Comments remain accessible depending on your settings, but are not displayed as revision marks. This mode is particularly useful before final export or sharing with other readers.
Changes with markings
«Track Changes» displays all suggestions, insertions, and deletions made in the text visibly. This allows you to see at a glance which sections have been revised and how the text has specifically changed. This mode is particularly suitable for closely examining corrections or for review rounds where changes are discussed collaboratively. You always retain control over which suggestions you wish to accept or reject.
Comments
In the «Comments» section, you control how annotations are displayed in the document view. You can choose whether comments are completely hidden, shown in the margin, or displayed directly in the text. These settings help you to either read undisturbed or work specifically with the comments, depending on your current stage of work. This allows you to maintain an overview even with a lot of feedback and to adjust the comment flow individually.
Hide comments
Hiding comments will conceal all visible comment marks and balloons in the preview, without deleting them. This is useful if you want to read the text quietly at first, without being distracted by annotations. The comments remain stored in the background and can be displayed again at any time. This allows you to switch flexibly between focused reading and active comment editing.
Inline comments
«Inline comments» displays annotations directly in the running text, usually in a special format or colour. This allows you to see immediately which part of the text a comment refers to, without having to hover over markings with the mouse. This display is suitable when you are working intensively with feedback and want to review every note in its immediate context. At the same time, it keeps readability in mind, as the comments are structurally embedded in the text.
Search
In the «Search» menu, you will find settings that allow you to specifically search for words or phrases within the document. You can refine the search function, for example, by only considering whole words or exact case sensitivity. This enables you to pinpoint specific technical terms, names, or recurring phrases within the text. These options are particularly useful for longer documents or for quality control of phrasing standards.
Whole words
With the «Whole Words» option, you ensure that the search only returns complete word matches and does not find parts of longer words. For example, if you search for «Rat», «Beratung» or «Raten» will not be highlighted at the same time. This is particularly useful if you want to consistently check or replace specific terms without unintentionally altering other words. This gives you more precise search results and reduces the risk of errors.
Case sensitive
If you activate «Case-sensitive», the search differentiates between variants such as «Leiter» and «leiter». This allows you to specifically search for proper nouns, sentence beginnings, or special technical terms where the spelling plays a role. This function is helpful for controlling spelling conventions or keeping specific name forms consistent in the text. In combination with other search options, you will receive very precise hit lists.
Navigation
In the «Navigation» menu, you'll find tools that allow you to quickly jump between important places in the document, such as changes or comments. This saves lengthy scrolling and helps you systematically go through all relevant points. Especially with extensive texts containing many annotations, navigation ensures significantly more efficient review. It allows you to work through all open points step by step without losing track.
Previous / next change
Using «Previous / next change» allows you to jump directly to the preceding or following revision in the text. This way, you can review all changes one after another without having to search for them manually. This function is particularly useful when many small corrections are spread throughout the document and you want to ensure that no section is overlooked. It supports a structured review process where each change is deliberately considered and decided upon.
Previous / next comment
«Previous / next comment» lets you jump from one comment to another without having to laboriously scan the text for markers. This is helpful if you want to systematically respond to feedback or check whether all annotations have been dealt with. It helps you keep an overview, especially with intensive teamwork and numerous comments. You can read each comment at your leisure, respond to it or mark it as done, and then switch directly to the next one.
This overview contains all summaries, evaluations and other analyses that the Text Buddy has created for you.
You can view them, copy and paste them into Word, or print them as a PDF. Exporting to other file formats is also possible.
TIP: Individual analysis results can also be passed directly back to the text buddy by hovering over them with your mouse and transferring them to the chat with the arrow, or by copying them.
If you have manually edited your document in Word or another programme, you can load the new version directly back into Textbuddy:
1. In the main menu File → Upload document again choose or the Upload icon in the toolbar use
2. Select and upload the revised file
3. Scribigo automatically creates a new version – the old one is kept in the version history
